Use the course calendar

In this article: How to open the Calendar view and use it to schedule meetings, messages, and module release dates for your course. All Plans

Before You Start

The Calendar gives you a visual overview of everything scheduled in your course: messages going out to students, live meetings, and (for drip-release courses) module release dates. It's the easiest way to plan your course timeline and make sure nothing overlaps or gets missed.

Open the Calendar

  1. Open your course and press Cmd+K (Mac) or Ctrl+K (Windows) to open the Manage Course menu.
  2. Click Calendar in the Content column.

You'll see a calendar view showing any existing scheduled messages, meetings, and modules.

Schedule a Message from the Calendar

Messages are email notifications sent to all enrolled students. Here's how to add one directly from the calendar:

  1. Hover over the date you want to schedule the message for. A + icon appears.
  2. Click the + and select Message.
  3. Enter a subject line and your message text.
  4. To change the send date or time, click the date and time shown at the bottom. A calendar picker appears where you can adjust both.
  5. Click Schedule Message.

Note: A message is automatically scheduled as soon as you click "Message." If you don't want it to send, delete it by clicking the trash can icon and confirming with Delete Message.

Tip: Messages are sent based on your timezone and adjust to each student's timezone. Make sure your timezone is correct in your account settings.

Schedule a Meeting from the Calendar

Meetings are live sessions your students can join. Here's how to add one:

  1. Hover over the date and click the + icon.
  2. Select Meeting.
  3. Enter a meeting title, set the date, time, and duration.
  4. Choose a meeting type:
    • Video Conference (Ruzuku-hosted, everyone can share audio and video)
    • Presentation (Ruzuku-hosted, only you share audio and video)
    • Zoom (uses your connected Zoom account)
    • External (any other conferencing tool, like Google Meet)
  5. Click Save.

Note: A meeting is automatically scheduled as soon as you click "Meeting." If you don't want it scheduled, click the trash can icon and confirm with Delete Meeting.

Schedule Module Release Dates

If your course uses a drip-release format (Calendar-Based Release Dates or Individual Release Dates), you'll see an additional option to schedule module releases from the calendar.

  1. Hover over the date and click the + icon.
  2. Select the module you want to release on that date.

This option only appears for courses set to a drip-release course type. If you don't see it, check your course type under Choose the right course type.

Frequently Asked Questions

Do messages send at the same time for all students?
Messages are scheduled based on your timezone and adjust to each student's timezone. A message scheduled for 9:00 AM arrives at 9:00 AM in each student's local time. Make sure your timezone is set correctly in your account settings.
Can I edit a scheduled message or meeting?
Yes. Click on the message or meeting in the calendar to open it, then make your changes. You can also delete it and create a new one.
Why don't I see the option to schedule modules?
Module scheduling only appears for courses using Calendar-Based Release Dates or Individual Release Dates. If your course is set to Full Access (all content available immediately), there are no module release dates to schedule.
